Assistant to Principal Solicitor
and Legal Practice Manager
Role Description:
We are seeking an Administrative Assistant or Legal Secretary to play a pivotal role in our dynamic legal team. The successful candidate will contribute to the efficient functioning of our firm by providing essential administrative support to our solicitors and maintaining a seamless client experience.
Responsibilities:
Client Interaction: Handle phone calls, book new clients, perform conflict checks, and coordinate consultation times with solicitors. Communicate formally with courts, police, solicitors, barristers,
and mediators.
Client Filtering: Evaluate prospective clients, ensuring alignment with our ideal client profile. Assess urgency, send disclosure requests to police, and prepare simple invoices for general consults. Implement debt collection procedures when necessary.
Qualifications and Experience: No specific qualifications required; experience and a willingness to learn are key. Familiarity with Microsoft 365 suite is essential.
Interpersonal Skills: Strong communication skills with the ability to engage in small talk and make clients feel comfortable. A driver's license is preferred.
Technical Proficiency: Proficient in Outlook, Word, basic browser usage, and windows file navigation. Willingness to learn SILQ legal software on the job and troubleshoot technical issues.
Collaboration: Work collaboratively with conveyancing paralegal and principal solicitor in a team-oriented environment.
Knowledge Base: Knowledge of legislation, real estate (basic REQI contracts), or experience in government roles is beneficial.
Adaptability and Innovation: Exhibit adaptability and innovation, as the role involves creating and refining processes in a developing firm.
Client Representation: Act as the first point of contact for prospective clients, representing the company positively and fostering a welcoming atmosphere.
Communication Skills: Ability to write clear and concise memos or emails focusing on essential information.
Goal-Oriented: Ability to set and achieve goals independently, figuring out efficient procedures to support the team.
Work Environment: Embrace a friendly and open work environment, demonstrating resilience during occasional stressful situations. Constructive criticism is provided as needed, requiring a thick-skinned approach.
